How to sell a team retreat to your management: arguments, figures and a template
By Charlotte Schoeters · · 7 min read
You want a retreat for your team, but management needs convincing. The arguments, the Belgian figures and a ready-to-use memo.
A team retreat is easiest to sell to management as an investment in prevention and team performance, not as a perk. The strongest case combines three things: what sickness absence already costs the company, the legal duty to prevent psychosocial risks, and a concrete, budgeted proposal with clear goals.
Argument 1: absence already costs money
According to SD Worx, sickness absence costs Belgian employers on average about €160,000 per 100 full-time employees per year in direct wage costs. Securex measured total absence of 8.09% in 2025; long-term absence stayed historically high at 3.35%. Since 1 January 2026, employers with at least 50 employees also pay a solidarity contribution of 30% of the benefit in the second and third month of an employee's incapacity. Long-term absence now hits the company budget directly.
Argument 2: prevention is a legal duty
Under the Belgian Code on Well-being at Work, every employer must analyse psychosocial risks such as stress and burn-out, take prevention measures and evaluate them every year. A team retreat with sessions on stress, breathwork and recovery fits as a collective measure in that annual action plan. The law does not prescribe yoga or retreats, but it does ask for concrete action.
Argument 3: what the research says
A meta-analysis of workplace yoga programmes (Della Valle et al., 2020) found a clear drop in perceived stress compared with control groups. In a small British trial among NHS staff, the yoga group lost far fewer days to back and joint complaints than the control group. The honest nuance: the studies are small, and there is no hard proof that yoga alone lowers absence. Present it as stress prevention, not as a guarantee.
Argument 4: the team effect
A few days away together does what meetings cannot: people get to know each other outside their roles. For teams that work hybrid or have grown quickly, that is often the biggest gain. Build in time for a team session, a strategy morning or a feedback round, so the retreat also has a clear work outcome.
Choose the right format
- Day retreat in Belgium: the lowest threshold, ideal as a first step or kick-off
- Weekend or midweek: more depth, with an overnight stay and time for team sessions
- Retreat abroad: the biggest impact, from €950 per person and from 6 people
Template: your memo to management
- Goal: lower work stress and strengthen the team after [period / project]
- Context: our absence figures, the 2026 solidarity contribution and our action plan on psychosocial risks
- Proposal: [day retreat / weekend / midweek / retreat abroad] for [number] employees on [dates]
- Programme: two classes a day suited to every level, a team session, free time
- Budget: [amount] in total, [amount] per person, quote attached
- Measurement: a short survey on stress and team cohesion before and after
- Next step: approval by [date] to secure the dates
